Board Directors’ Roles and Responsibilities

President

  • Organizes monthly board meetings including coordinating the date/time, creating the agenda, and presiding over the meeting
  • Serves as primary contact/liaison for the MPPDA and Med-Peds section of the AAP
  • Serves as primary contact/liaison for program representatives to ensure communication between NMPRA and programs, facilitate program involvement.
  • Is in charge of all aspects regarding the annual meeting, including but not limited to selection of a venue which will be approved by the board, establishing a budget with the assistance of treasurer and approval by the board, serving as primary contact for the venue and vendors, organizing the speakers and events for programming, and acting as master of ceremonies (note: this part of the president role will begin in November of your president-elect year).
  • Coordinates executive board member elections for the upcoming term
  • Attends the annual meeting

 

President-Elect

  • Participates in the monthly board meetings and assists the president with the meetings as needed by the president
  • Is in charge of all aspects regarding the selection of award and grant winners annually, including but not limited to advertisement, collection of applications, compilation and distribution of applications to the board for voting, serving as contact person for award/grant recipients, and preparing award certificates for winners.
  • Serves as primary contact/liaison for the Director of Medical Student Recruitment and in addition to them as a contact for medical students to ensure communication between NMPRA and medical students, facilitate involvement with NMPRA, and promote organization of medical student interest groups.
  • Begins to plan the annual meeting during their president-elect year as described in the president role
  • Attends the annual meeting

 

Immediate Past-President

  • Participates in the monthly board meetings as able
  • Serves as primary contact/liaison for chief residents to ensure communication between NMPRA and programs, facilitate program involvement with NMPRA, and provide support for the chiefs.
  • Attends the annual meeting

 

Treasurer

  • Works with the logistic coordinator to maintain records of all transactions and money flow
  • Prepares financial reports at least annually and prepares an annual budget
  • Works with the president to develop a detailed budget for particular costs of the annual meeting
  • Prepares updated reports regarding cost of the annual meeting monthly from June until the conference and then prepares an updated report 1 month after the annual meeting with final costs
  • Works with the development coordinator in optimizing revenue and ways to streamline overall costs
  • Files appropriate tax-related forms to maintain NMPRA as a tax-exempt corporation
  • Attends the annual meeting

 

Secretaries

 

Traditional Secretary:

  • Takes the minutes of the meetings of the Board and members, and keeps the minutes as part of the corporate records.
  • Prepares the programs for the annual National Conference.
  • Organizes the attendees of the National Conference and keeps attendance.
  • Prepares an evaluation for the annual National Conference.
  • Prepares the programs for the regional conferences as desired by the organizing institutions.
  • Attends the annual meeting

 

Public Relations Secretary:

  • Responsible for editing, publishing, and submission of NMPRA’s newsletters (Perspective).
  • Responsible for involving members of the Med-Peds section of the AAP, MPPDA and NMPRA in preparation for each publication of the Perspective.
  • Responsible for maintaining the social media of NMPRA (including Twitter and Facebook).
  • Responsible for taking the minutes of the meetings if the Secretary is unavailable for the meeting.
